1. Scope Summary
This Scope of Work defines the services to be performed by Postal Posts and its assigned installer under the Base Mailbox Package. It is provided to the customer prior to the scheduled installation date to establish a clear, mutual understanding of what is and is not included in this service.
The Base Mailbox Package is a mailbox unit replacement service. The existing mailbox is removed and a new Mail Boss locking security mailbox is installed in its place on the existing mounting structure. This scope does not include any post installation, post replacement, post repositioning, or any modification to the height or road setback of the existing installation.
| INCLUDED Unless specifically selected otherwise, this service includes removal of the existing mailbox unit, supply and installation of the new Mail Boss unit on the existing post or wall mount, address number placement, and site cleanup. The price paid at checkout covers all of these items in full. If you need a new post installation, please be sure to select the corresponding upgrade to to your order. |
2. What Is Included
- Removal and disposal of the existing mailbox unit
- Supply of the Mail Boss locking security mailbox model selected at time of order
- Mounting of the new mailbox unit to the existing post or wall mount using manufacturer hardware
- Installation of address numbers as specified by the customer or per existing placement
- Confirmation that the mailbox door opens, closes, and locks correctly prior to departure
- Handoff of all keys to the customer — documented and signed off
- Full site cleanup — all packaging, removed hardware, and debris cleared from the property
- Completion photo submitted to Postal Posts upon job close
3. What Is Not Included
The following items are explicitly outside the scope of this service. If any of the conditions below apply to your installation, please contact Postal Posts before the scheduled date to discuss options.
3.1 Post Work
| NOT INCLUDEDNo post installation, post replacement, post repair, or post repositioning is included in the Base Mailbox Package. This service is a mailbox unit swap only. If post work is required, a separate package must be selected or a scope change must be agreed upon in writing prior to the installation date. |
- No new post will be set, driven, or anchored
- No existing post will be removed, cut, extended, or repositioned
- No concrete or gravel work will be performed
- No CBU pedestal or pad work is included
3.2 Height Adjustment
| NOT INCLUDEDPostal Posts will not modify the height of the existing installation. The new mailbox will be mounted at the same position on the existing post or wall structure as the unit being replaced. No adjustment to bring a non-compliant installation into USPS height compliance is included in this scope. |
If the existing installation is outside the USPS-required range of 41 to 45 inches measured from road surface to the bottom of the mail slot, the customer will be notified. Postal Posts will document the condition with photographs but will proceed with the replacement at the existing height unless a scope change is agreed upon. Height correction requires post work and falls under a separate package.
3.3 Road Setback Adjustment
| NOT INCLUDEDPostal Posts will not modify the road setback of the existing installation. The new mailbox will be installed on the existing post or mount in its current position. No adjustment to the distance from the curb or road edge is included in this scope, regardless of whether the current position is within or outside the USPS-recommended 6 to 8 inch setback. |
3.4 Structural Assessment of Existing Post or Mount
The installer will perform a visual and manual inspection of the existing post or wall mount prior to beginning work. If the existing structure is found to be in any of the following conditions, Postal Posts will halt the installation and contact the customer before proceeding:
- Post is rotted, cracked, or structurally unsound
- Post footing is heaved, cracked, or visibly failing
- Wall mount substrate is damaged, delaminating, or cannot support the new unit’s weight
- Existing mounting hardware is incompatible with the new mailbox unit and no adapter solution is available on-site
| IMPORTANTIf the existing structure is found to be unsound, Postal Posts cannot install the new unit safely on that structure. The customer will be contacted and a revised scope or a post-replacement package will be offered. No charge will be applied until a revised scope is agreed upon. |
3.5 Landscaping, Hardscape, and Surface Repair
Postal Posts is not responsible for any pre-existing damage to landscaping, turf, concrete, asphalt, pavers, or decorative elements surrounding the mailbox installation. Any disturbance to the ground surface necessary to access the existing post base during the inspection is outside this scope. The installer will restore the immediate work area to a clean condition but will not repair or replace landscaping or hardscape.
3.6 Electrical, Lighting, and Smart Features
Any mailbox with integrated lighting, electrical connections, smart lock systems, or networked features is outside the scope of this service. Postal Posts installs mechanical mailbox units only. Disconnection, reconnection, or troubleshooting of any electrical component is not included.
3.7 Permits and Homeowner Association Approvals
The customer is responsible for obtaining any required municipal permits or HOA approvals prior to the installation date. Postal Posts will not apply for permits on behalf of the customer. If a permit or approval is required and not obtained, Postal Posts reserves the right to reschedule the installation without penalty.
3.8 Existing Non-Compliant Conditions
Postal Posts is not responsible for any USPS delivery refusals, carrier complaints, or service interruptions arising from pre-existing non-compliant installation conditions, including but not limited to incorrect height, incorrect setback, or incorrect orientation of the existing post. Our responsibility is limited to the correct installation of the new mailbox unit on the structure as found.
4. Site Access and Scheduling
- The customer is not required to be present during installation. Work will be performed at the curbside or exterior mounting location accessible without entering the property.
- If site access is blocked on the scheduled date — including locked gates, vehicles blocking the install location, or active construction — the installer will contact the customer. If the site cannot be accessed, the job may be rescheduled at Postal Posts’ discretion.
- Installation will not proceed in conditions that present a safety risk to the installer, including but not limited to ice-covered work surfaces, active road hazards, or severe weather.
- The customer will be notified if a rescheduling is necessary. No additional charge will be applied for a single rescheduling due to access or weather.
5. Material Delivery
The mailbox unit will be shipped directly to the assigned installer in advance of the installation date. The customer is not required to receive, store, or handle the product. Postal Posts coordinates all material logistics between the dealer and the installer.
If materials are delayed or damaged in transit, the customer will be notified and a revised installation date will be provided. Postal Posts will not charge a cancellation fee in the event of a supplier delay.
6. Warranty and Satisfaction
6.1 Product Warranty
The Mail Boss mailbox unit is covered by the manufacturer’s warranty. Postal Posts will provide the customer with warranty documentation at the time of installation. Any product defects or warranty claims are handled directly with Mail Boss. Postal Posts will assist the customer in initiating a warranty claim where possible.
6.2 Installation Workmanship
Postal Posts warrants the installation workmanship for 90 days from the installation date. If the mailbox becomes loose, misaligned, or fails to operate correctly as a direct result of improper installation within this period, Postal Posts will dispatch the installer to correct the issue at no charge.
This workmanship warranty does not cover damage resulting from vehicle impact, vandalism, weather events, frost heave of the existing post, or customer modification of the installation.
6.3 Customer Satisfaction
Upon completion of the installation, the customer will receive a satisfaction survey by email. Completing the survey or marking the project complete in the confirmation email is required for the job to be formally closed. Postal Posts uses this feedback to evaluate installer performance and maintain service standards.
7. Customer Acknowledgment
By signing below, the customer confirms that they have read and understood this Scope of Work, agree to the terms described, and authorize Postal Posts to proceed with the installation as outlined.
